Waitlist
Members can join a waitlist when a slot is full, and get automatically promoted if a spot opens up.
When every slot on a court is taken, members don't have to give up — they can join a waitlist. If someone cancels, the next person in line is automatically promoted to fill the spot.
This works for both member self-service on the booking site and admin-managed bookings from the dashboard.
How it works
- A member tries to book a time slot that's already taken.
- They see a Join waitlist option and tap it.
- The member is added to a first-in, first-out queue for that specific slot.
- When the existing booking is cancelled (by the member or by an admin), the system automatically:
- Promotes the first person in the waitlist
- Creates a booking for them
- Sends them a notification email
A member can only be on the waitlist once per slot — if they're already on it, trying again shows a notice.
Leave the waitlist
Members can remove themselves from the waitlist at any time (from their My Bookings page or the waitlist page), as long as they haven't already been promoted.
Admin management
From the dashboard, admins can:
- View the full waitlist — filter by court, date, or status (waiting / promoted)
- Remove someone from the waitlist
- Manually promote someone — this creates the booking immediately and marks the entry as promoted (use this if the auto-promotion didn't fire for some reason)
Promotion checks if the slot is still available — if it has been re-booked, the promotion fails gracefully (the waitlist entry stays as waiting).
